Description: Quickly and easily run a report of users by assigned user role, and access user profiles to update roles directly from the report. This report is helpful if your College Deans or Department Chairs, or Program Directors change after set terms, and roles need to be reassigned with ease.
Applicable to: Institution Admin, College Admin, Department Admin
Step by Step:
1. Select the hamburger icon to access the AEFIS main menu at the top left of the screen
2. Scroll to Analytics>Report Dashboard
3. Select User Accounts Report from the AEFIS System menu
4. Choose the report parameters:
- Status: Filter by active/inactive users
- Read Only: Filter by read only/write type roles
- Role: Role types
- Institution: Institution owner options
- College: Filter by the college that owns the role (i.e. College Admin, College Survey Admin)
- Department: Filter by the department that owns the role (i.e. Department Admin, Department Survey Admin)
- Program: Filter by the Program for Program Coordinator role
- Course: Filter by Course for Course Coordinator or Course Section Designer role
- Course Section: Filter by section for Course Section Designer role
5. Select Run Report, or Reset Parameters to start over

Report Columns
- Last Name: User's last name
- First Name: User's first name
- Email: User's email address
- Role: User role assigned
- Parent Entity Type: This indicates the level of the hierarchy (Institution>College>Department>Course>Section) that controls the user role
- Parent Entity Code: This is the specific owner of the role
- Parent Entity Name: This is the name of the owner of the role
- Read Only: Indicates whether the role is read only
- Status: Active or Inactive user
- Last Login: Date the user last logged into AEFIS
- Manage: This link takes you to the user's profile where you may edit and change roles
6. Select Manage next to the user if you need to change or update their role
TIP! Right click on manage to open the user's profile in a new tab to keep your report open!
