Description: Assignment Samples are an option that are enabled in settings for Programs at either the Institution, College, Department or Program level by default. This allows faculty assigned to sections that are associated with Courses or Co-curricular Activities included in a Program's Curriculum Map to store samples of student work/artifacts in their section which represent levels of program learning outcome achievement, or other achievement benchmarks. This guide provides instructions on how to enable and configure the Assignment Samples setting in Programs, and the workflow for faculty and administrators to store student work in the Assignment Sample area of a Course/Co-curricular Section.

Part One: Enable and Configure Assignment Samples
Step by Step...
Step 1. Login to AEFIS
Step 2. Click on the hamburger menu icon to access the Main Menu at the top left of the screen
Step 3. Navigate to the Program Management section of the menu and select Programs
Step 4. Use the filters or search bar to find the Program in which you would like to enable Assignment Samples
Step 5. Click manage next to the Program
Step 6. Select Revise at the top right of the Program home page
Step 7. Once the Program home page refreshes, and you see In Revision at the top of the screen, you may select the Settings link on the left navigation menu of the home screen
Step 8. On the settings screen scroll to the Assignment Samples Settings section
Step 9. Configure the Assignment Sample Settings
- Enable Student Assignment Samples: Toggle this on to enable the setting
- Assignment Groups: Set the number of groups of student artifacts you would like to collect student samples in. You may set a minimum of 1 and a maximum of 6 groups.
- Label your Assignment Groups: These group names may reflect the same levels as your Program's Proficiency Scale, or may represent any other categories of student achievement you deem appropriate. These groups are not tied to your Program's Proficiency Scale, and the storage of student artifacts is not tied to the Proficiency Scale.
Step 10. Click the blue Save Assignment Samples button at the bottom of the setting area
Step 11. Once you are done changing your Program settings, click the blue Publish button at the top right of the screen to publish the program with the settings enabled

Part Two: Store Student Assignment Samples in a Course/Co-curricular Section
Step 1. Login to AEFIS
Step 2. Navigate to your Course/Co-curricular Section using the AEFIS Dashboard Sections and Syllabi widget, the LTI link in your Learning Management System, or by using the Main Menu to go to Educational Experiences>Courses Sections/Co-curricular Sections
Step 3. Select Assignment Samples from the Assessment menu on the left navigation menu of the section
**Note: In order for samples to be available on this screen, you must link Assignments to Program Outcomes in a Program where Assignment Samples are enabled
Step 4. The Assignment Samples screen will display the Program Outcomes linked to Assignments in your Sections, and the categories set for organizing samples will display beneath the Outcomes
Step 5. To add student assignment samples, click the blue plus sign next to the assignment sample category displayed under the outcome and a document upload option will populate
Step 6. Click on the cloud icon, or drag and drop student artifacts in this pop up field to load the student samples. Note you may multi-select or drop multiple artifacts to this pop up at the same time.
Step 7. Once you are done adding samples, you may click the grey Close button on the pop up
Step 8. The Assignment Sample screen will reload, and you will see a list of the samples included in the file set under each achievement category

Part Three: Export Student Assignment Samples in a Course/Co-curricular Section
Step 1. See Part Two steps 1-3 to navigate to the Section's Assignment Samples screen
Step 2. At the top right of the Assignment Samples home screen, you will see a blue Export All Attachments button
Step 3. A pop up will appear, prompting you to open a zip file
Step 4. Choose how you would like to save or open the file, and unzip to retrieve the documents/artifacts
