Description: Institution, College and Department Admins will add and update their Academic Policies in the Organizational Hierarchy Manager page that relates to their role. These are the policies, and links to internal/external websites containing policies that are Institution-wide for all students (Institution), set specifically for a College but not covered by an Institution Policy (College) or unique to students taking courses within a Department, that are not included in the Institution or related College Policies. The Institution Admin can add the policies to the specific Colleges and Departments, or they can delegate that responsibility to the College/Department Admins. Only Institution Admin roles can update the Institution Academic Policies. We recommend not duplicating these policies within your hierarchy, or they will display as duplicated in the Syllabi, if you are using the Syllabus solution.
Applicable to: Institution Admin, College Admin and/or Department Admin
Step by Step
1. Login to AEFIS
2. Click on the hamburger menu at the top left of the screen and navigate to the Organizational Hierarchy section of the menu
3. Click on Institutions, Colleges or Department
4. Click the Manage button next to your Institution, College, or Department
5. Navigate to the Details area of the Institution menu under Information
6. Scroll to the bottom where the Academic Policies section is located
7. To Add a new policy:
- Click the blue Add button at the top right of the policies section
- A policy editor screen will pop up
- Title: This is the title that will display as a header to the policy in the syllabus to students.
- Description: This text editor will allow you to format your policy and add links to your policy websites so they display in the syllabus. Links you add here will be clickable within the syllabus policies section.
- Click Save
8. To edit/delete a policy that was already saved:
- Hover over blue circle with the kebab icon (Action Button)
- Two options will populate - a red trash icon to delete and a grey pencil icon to edit
- Click the grey pencil icon and the same policy editor pop up will appear so you can edit the text
- Click Save
Note: In order for these policies to display to students, you must use the Academic Policies item type in your Syllabus templates.
If you add the +Item to your syllabus template:
You will create an Academic Policies item within your syllabus template:
Which will automatically display, when published to students, the Institution, College and Department policies related to that Course:
The Academic Honesty policy edited in the screenshots in the instructions are displayed in a published syllabus in that image. No faculty members needed to add or edit anything for that to display - it displays automatically. If any policies are changed at the Institution, College or Department level while the term is active, the policies will automatically update in the syllabi.
